Generally it is possible to visit our website without providing personal data. By using this website and entering personal data, you agree to the collection and use of your data in accordance with this declaration. As a matter of principle, this data will not be passed on to third parties, unless this is absolutely necessary for the explained purpose. In this case, we will request your consent prior to passing on the data.

1. Web server and log files

Your browser automatically transfers information to our website with every access: the version of your browser program, your operating system, the IP address of your device, the time of the request, the URL of the requested file or page, the page from which you reached us via a link (referrer URL) and the result of the request (HTTP status code). This data can be recorded in server log files, which are necessary for checking the proper functioning of the web server.

We only store pseudonymised IP addresses of visitors to our website. At web server level, we do this by storing an IP address such as 123.123.123.XXX in the log file by default (with XXX being a random value between 1 and 254) instead of the actual IP address of the visitor, e.g. 123.123.123.123. We hereby ensure that it is no longer possible to trace back a personal reference. The log files are automatically deleted after the statutory period.

The web server is operated by BIOHOST, Bahnhofstr. 52, 35390 Gießen, Germany. You can find the BIOHOST data protection declaration here. The order is placed on the basis of our legitimate interests in accordance with Art. 6(1) lit. f DSGVO and a contract processing agreement in accordance with Art. 28(3) S. 1 DSGVO.

2. CONTACT AND ONLINE REGISTRATION

When contacting us (e.g. via contact form, online registration, mail, telephone or via social media), user’s details are processed for the purpose of dealing with their contact request and its processing in accordance with Art. 6(1) lit. b) DSGVO. The user’s details may be stored in a customer relationship management system (“CRM system”) or comparable enquiry organisation.

We delete requests when they are no longer necessary. We review the necessity every two years; also, the statutory archiving obligations apply.

3. STORAGE OF PARTICIPANT DATA FOR THE PLANETARY-HEALTH-ACADEMY

This website offers participation in online-based lecture formats such as seminars and web meetings. For this purpose, there is the possibility to register via a form on this website.

Your registration will only be activated and hereby completed after you have confirmed it via a link in a confirmation email sent to you after submitting the form. Your registration data will be stored and used for the purpose of attending the lecture formats offered by the Planetary Health Academy. 

PRIVACY POLICY INFORMATION FOR THE USE OF “ZOOM”, E.G. FOR ONLINE SEMINARS AND WEB MEETINGS

The Planetary Health Academy offers online-based lecture formats carried out with the online tool “Zoom”. In the following we would like to inform you about the processing of personal data in connection with the use of “Zoom”.

PURPOSE OF THE PROCESSING

We use the “Zoom” tool to conduct telephone conferences, online meetings, video conferences and/or online seminars. “Zoom” is a service provided by Zoom Video Communications, Inc., based in the USA.

RESPONSIBILITY

Responsible for the data processing directly related to the implementation of online seminars of the Planetary Health Academy is the German Alliance on Climate Change and Health e.V. (KLUG). We make sure that only the user data absolutely necessary for the use of Zoom is transferred to Zoom.

Note: If you call up the “Zoom” website, the provider of “Zoom” is responsible for data processing. However, calling up the Internet site is only necessary for downloading the software for the use of “Zoom”.

You can also use “Zoom” if you enter the respective meeting ID and, if necessary, other access data for the meeting directly in the “Zoom” app.

If you do not want to or cannot use the “Zoom” app, the basic functions can also be accessed via a browser version, to be found on the “Zoom” website.

WHICH DATA ARE BEING PROCESSED?

When using “Zoom”, different types of data are being processed. The extent of the data also depends on the information you provide before or during participation in an “online meeting”.

The following personal data are subject to processing:

User details: first name, last name, telephone (optional), e-mail address, password (if “Single-Sign-On” is not being used), profile picture (optional), department (optional)

Meeting metadata: Subject, description (optional), participant IP addresses, device/hardware information

For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of online meeting chat.

When dialing in by telephone: information on incoming and outgoing telephone number, country name, start and end time. If necessary, other connection data such as the IP address of the machine can also be saved.

Text, audio and video data: You may be able to use the chat, question or survey functions in an “online meeting”. Text entries you make will be processed in order to and to the necessary extent to display and, if necessary, log them in the “online meeting”. In order to enable the video and audio functions, the data from your microphone of your device as well as from the video camera of your device will be processed for the duration of the meeting. You can switch off your camera or mute your microphone yourself at any time using the “Zoom” application.

In order to participate in an “online meeting” or to enter the “meeting room”, you must at least provide information about your name.

EXTENT OF PROCESSING

We use “zoom” to conduct “online seminars”. If we want to record “online seminars”, we will inform you transparently in advance and – if necessary – ask for your consent. The process of recording will also be displayed in the “Zoom” application.

If necessary for the purposes of logging the results of an online meeting, we will log the chat content. However, this will normally not be the case.

In the case of seminars, we may also process the questions asked by participants for the purposes of recording and follow-up of seminars.

If you are registered as a user in “Zoom”, the reports of “online meetings” (meeting metadata, telephone dial-up data, questions and answers in seminars, survey function in seminars) can be saved in “Zoom” for up to one month.

Automatic decision-making within the meaning of Art. 22 DSGVO is not used.

When personal data are processed by employees of Deutsche Allianz Klimawandel und Gesundheit e.V. (KLUG), § 26 BDSG is the legal basis for data processing. If, in connection with the use of “Zoom”, personal data are not required for the establishment, implementation or termination of the employment relationship, but nevertheless elementary for the use of “Zoom”, Art. 6 (1) lit. f) DSGVO is the legal basis for their processing. In these cases, we are interested in the effective realisation of “online meetings”.

In all other respects, the legal basis for data processing for conducting “online seminars” is Art. 6 (1) lit. b) DSGVO, insofar as the meetings are held within the framework of contractual relationships.

If no contractual relationship exists, the legal basis is Art. 6 (1) lit. f) DSGVO. We are then again interested in the effective realisation of “online seminars”.

RECIPIENT / TRANSFER OF DATA

Personal data processed in connection with participation in “online seminars” will not be passed on to third parties unless they are specifically intended for passing on. Please note that content from “online seminars” as well as from personal meetings often serves the purpose of sharing and passing on information with customers, interested parties or third parties and is therefore intended to be passed on.

Other recipients: The provider of “Zoom” necessarily knows anout the above-mentioned data, insofar as this is intended in our contract processing agreement with “Zoom”.

DATA PROCESSING OUTSIDE THE EUROPEAN UNION

“Zoom” is a service provided by a US operator. The address of Zoom is:

Personal data is therefore also processed in a third country. We have concluded an order processing contract with the provider of “Zoom” meeting the requirements of Art. 28 DSGVO. You can find further information on this here: https://zoom.us/gdpr.

An adequate level of data protection is guaranteed on one hand by the “Privacy Shield” certification of Zoom Video Communications, Inc. and on the other hand by the conclusion of the so-called EU standard contract clauses.

3. SUBSCRIPTION TO NEWSLETTERS

Participants in events of the Planetary Health Academy can also subscribe to further information on the topics of Planetary Health as well as on Climate Change and Health. These are in particular newsletters and mailings to activists who are supported by the Deutsche Allianz Klimawandel und Gesundheit e.V. (KLUG).

If you order newsletters via our website, we assume that you agree to us saving the e-mail address you provide as well as the exact time and IP address of your device as proof that you are the owner* of the e-mail address and that you agree to receive the newsletters. No further data is collected via the order form. If the newsletter is ordered by other means, we store your name and a note on how the order was placed as proof of your agreement. We use these data exclusively for sending the requested information.

The newsletter is sent by the mail service provider Mailjet SAS,13-13 bis, Rue de l’Aubrac, 75012 Paris, France. You can view the privacy policy of the mail service provider here. The dispatch service provider is used on the basis of our legitimate interests in accordance with Art. 6 (1) lit. f DSGVO and an order processing contract in accordance with Art. 28 (3) p. 1 DSGVO.

EMBEDDED CONTENT FROM OTHER WEBSITES

Social Plugins (Facebook, Twitter, Google+)

So-called “social plugins” are used on this website. Currently these are the plugins of the services Twitter, Facebook, Telegram and Whatsapp. Via these plugins data, including personal data, can be sent to the US service providers and used by them if necessary.

PROTECTION TOOL SHARIFF

Our website itself does not collect any personal data by means of the social plugins or about their use. To ensure that no data is transferred to service providers in the USA without the user’s knowledge, this website uses the so-called Shariff solution. This means that initially no personal data is passed on to the providers of the individual social plugins when visiting this website. Only when you click on one of the social plugins data can be transferred to the service provider and stored there.

ACCESS THROUGH THE SERVICE PROVIDERS FACEBOOK, TWITTER, TELEGRAM AND WHATSAPP

By clicking on the social plugin, the service provider receives the information that you have called up the corresponding subpage of our online offer. You do not need to have an account with this service provider or be logged in for this to happen. If you are logged in with the service provider, this data is directly assigned to your account. If you click on one of the social plugins and, for example, link to the page, the service provider will also save this information in your user account and make this publicly visible to your contacts.

If you don’t want the allocation with your profile at the service provider, you have to log out before clicking on one of the social plugins.

We have no influence on whether and to what extent the service providers collect personal data. Nor do we know the scope, purpose and storage period of the data collection. It must be assumed that at least the IP address and device-related information are collected and used. It is also possible that the service providers use cookies.

Embedded YOUTUBE VIDEOS

Our website integrates YouTube videos. YouTube is a Google service. The embedded clips place cookies on the users’ computers when they visit the site. If you have deactivated the setting of cookies for the Google advertising programme, you will not have to reckon with any such cookies even when calling up YouTube clips. However, YouTube also stores non-personal usage information in other cookies. If you want to prevent this, you must block this in your browser.

Surveys

The following information describes how your personal data is processed when you participate in our surveys: 

To conduct surveys we use SurveyGizmo software, a tool from SurveyGizmo, 4888 Pearl East Circle, Boulder, Colorado 80301, USA. The surveys are generally anonymous and no personal data such as name, address or email of the participant is collected. By participating in a survey, the participant’s IP address, information about the devices and browsers used, information about the time and duration of the survey, and the information provided by the participant in the survey form is transferred to SurveyGizmo. If you do not want your data to be processed by SurveyGizmo, please do not participate in our surveys.

ANALYSIS OF WEB PAGE IMPRESSIONS

We store the frequency of page views for our website as well as top lists with links (grouped by domain) and target pages.

The data is stored without the collection of personal data and without the creation of user profiles. No IP profiles, cookies or other user profiles are stored. Old data records are automatically deleted after 365 days at the latest.

HOW LONG WE STORE YOUR DATA

We delete user data (e.g. for registration for offers of the Planetary Health Academy) when it is no longer required. We review the necessity every two years; furthermore, the statutory archiving obligations apply.

For users who register on our website, we also store the personal information they provide in their user profiles. All users can view, change or delete their personal information at any time (the user name cannot be changed). Administrators of the website can also view and change this information.

RIGHT OF DISCLOSURE, CORRECTION AND DELETION

If you have submitted data to us, you can request an export of your personal data from us, including all data you have submitted to us. In addition, you can request the deletion of all personal data that we have stored about you. This does not include data that we are required to keep due to administrative, legal or security reasons.
